ACCOMMODATION BOOKINGS AND CANCELLATIONS

GENERAL CANCELLATION POLICY:

If you wish to vary or cancel your booking, please contact us at once through our contact form. We will always try to work with you on a future booking. We know life happens.

Any booking cancelled before 3:00 PM AWST on the day of check-in

  • with greater than 45 days’ notice will incur a $75 cancellation fee.

  • between 30 and 45 days incur $250 cancellation fee.

  • between 14 and 30 days incur 50% of the booking amount cancellation fee.

  • less than 14 days incur a 100% cancellation fee.

We will refund Extras purchased based on the Extra type. e.g. massages may incur a cancellation fee based on how near to the check-in date we receive the cancellation.

 

Requested date changes with 30 days or more notice honoured free. If less than thirty days, we will attempt to resell amended dates, and if successful, a $150 admin charge applies, otherwise our standard cancellation fees would apply.

We must secure all bookings with a 100% deposit and with a credit card that is valid until after the check in date.

SG recommends our guests make use of travel insurance, as our booking conditions laid out below are strictly enforceable.

WE HATE SAYING NO, BUT THESE ARE SORRY, NO CAN DO

These rules are to protect your experience and the beautiful natural surroundings and wildlife.

  • No parties or functions. Absolutely only two guests on the property at one time. If we discover you have had extra guests at any time, we will charge your credit card for one nights' stay.

  • No pets. Although the Down South Boarding Kennels, Donnybrook are happy to look after your fur baby.

  • No motorsport of any kind. We allow off-road bicycle use on our property, but use is at your own risk and in bringing your bikes onto our property, you acknowledge this risk.

  • No children under the age of 16

  • No extra guests other than booking couple may stay and no visitors to the property.

  • No smoking once on the property.

  • No playing music loudly for the peace of other guests.

  • No hunting or fishing on the property.

  • No petting or interaction with grazing sheep or neighbours' cattle.

  • No wandering near other tents. Respect other guests' privacy as they respect yours. 

  • No high voltage appliances. No hair dryers, straighteners, heaters, etc. If you plug any high-draw appliance in, it may cut power to the tent.

  • No using outdoor firepits during our Shire designated Fire-Ban season which is usually from mid-December to Mid-May due to high fire danger. This time may be extended, but we will advise you before your stay.

DRIVING HERE AND ON THE PROPERTY

Approximately 6.5kms of the drive from Bridgetown to your tent is via a council-maintained gravel road. A 2wd car is fine, but your car will pick up red dust.

  • The speed limit on our property is 20km/h as all roads are gravel and can be driven easily with a 2wd vehicle.

  • Drive strictly on the internal gravel roads. DO NOT drive onto the grassed areas or damage plants or landscaping. This may cause a bushfire in hot weather because of the heat of the car's exhaust igniting dry grass.

  • Cars are to be parked on the parking bay beside the tent and not on the grass. This again is to protect against bushfire and to protect your car.

ADVERSE WEATHER AND WILDLIFE:

SG cannot guarantee perfect weather and take no responsibility for adverse effect on your stay due to weather (wind, rain, storms, hail, etc.). It can get windy and the wind noise may disturb your sleep, as well as early morning birds. Please bring earplugs if this may bother you. The tents have light blocking blinds but some light will filter through, so if this will bother you, please bring eye covers.


On the rare occasion, small animals like field mice or a bird or insects like ants or moths might find their way into your tent. Our tents are spotlessly cleaned but when staying in the middle of a forest in a natural environment, this can occur. Please keep fly screens always closed to mitigate this happening. There are insect repellant and personal insect protection in the sink cupboard.


In warmer months, we have a whisper-quiet ceiling fan and Bridgetown is normally cooler than Perth by about five degrees. It's rare to not need blankets even in the middle of summer.


In cooler months, we have a doona and blanket on the bed plus a spare blanket. We also supply a hot water bottle. Each tent has its own wood-fireplace with enough wood for two to three days and an external private firepit. If you use more wood than supplied, you can buy extra from us.


The tent may be colder or warmer than a hotel room. These minor environmental impacts are part of the experience. You are camping in a natural environment, not a stuffy hotel.

LINEN AND TOWELS, BREAKAGES, DAMAGE

For your stay, we supply linen, pillows, blankets, bathrobes and one set of towels (two for more than three+ nights) and most needs for a two to three-night stay. If anything is found missing or damaged after you leave, we must charge your credit card for replacement cost. When you arrive, if you find something damaged or missing, please alert management immediately so we can replace, repair or take note.

DEPARTURE

  • Please adhere to checkout times for the convenience of other guests. Though small, the tents take between two-and-a-half to three hours to reset because of our high standard of cleaning and presentation.

  • Remove all food from fridges. Put all rubbish in bins and please wash crockery, cutlery, and pack away if it’s dry.

  • Clean the BBQ if you have used with the products provided.

  • Please leave all furniture and furnishings in the position you found them upon arrival.

  • Leave the tent secured and locked. Please leave accommodation keys in the lockbox.

PROBLEMS OR COMPLAINTS

With any problem or complaint, please let us know at once. We want you to enjoy your stay and if we can rectify immediately, we will. We are not available during the night after 10pm or before 7.30am. Email through our contact form and we may receive it. If you feel you are in danger, please call the police on “000”.

EXPERIENCES BOOKED THROUGH Serenity Gully Glamping

SG accept no liability and responsibility for activities and experiences sold on behalf of 3rd party suppliers. We will give your email and details to these third-party suppliers in order to organise the services. However, if you are not happy with the experience, please let us know. We want you to be happy with your entire Serenity Gully experience.

Booking Terms and Conditions

1. DEFINITIONS

“Booking” means the period for which you have paid to stay at the Property.“Property” means Serenity Gully and all its fixtures, fittings and equipment.“Management” means the owners and managers of the Property.“Guests” means the persons who stay overnight in the Property during the Booking.

2. ACCEPTANCE & RESPONSIBILITY.

• Payment of the Deposit or full charge constitutes acceptance of these Terms and Conditions.

• Sumarci Family Trust trading as Serenity Gully and the owners of the property (Baihar Pty Ltd atf Sumarci Family Trust) will accept no responsibility from all claims or causes of action you or any guests may have (including for negligence) arising from any injury, loss or damage of any kind suffered by the guests including personal injury, illness or death and/or loss or damage to any property (in so far as this does not breach the provisions of the relevant Australian Consumer Law) arising either directly or indirectly out of your stay at the property.

3. ADVERSE WEATHER & ANIMALS

SG cannot guarantee perfect weather and take no responsibility for adverse affect on your stay due to weather conditions (wind, rain, storms, hail, etc.). SGG can experience high winds and heat and very cold nights. We've done everything we can to ensure your experience is comfortable in all conditions, but weather is not within our control.  


Our tents and structures are engineered to handle cyclonic wind speeds (which have never occurred in our area), snuggling inside by the fire is just as much a part of the adventure as the bush walks. Besides, it rarely rains all day. We do not offer refunds in lieu of being able to experience the outdoor firepits or the external bathtubs due to poor weather or unsuitable conditions, such as a fire ban.

4. CHECK IN/ OUT

  • Check-in/out times are so we can clean and reset the tents for the next visitors. Where we can we will try and accommodate early arrivals or late checkouts. There may be an additional fee for this.• Late departure is subject to prior arrangement and availability, and extra charges will apply.

  • A code number to your tent's key lock box will be issued to you approximately two days before your stay via email.

5. GETTING TO/FROM SERENTIY GULLY GLAMPING

  • SG is only 8 minutes drive from Bridgetown. The last four kilometres to the gate, you will travel on scenic council maintained gravel road. The road is 2WD accessible. Your car will pick up red dust. This is the country. We advise running your vehicle through a car wash when you return home. No responsibility is accepted by us for any damage to vehicles, or if you do not wish to drive your vehicle on the dirt road, and any added costs will be borne by you. If you are concerned, please feel free to contact us. Please drive carefully and watch out for animals and wildlife and drive to the conditions of the weather and road.

  • The speed limit on our property is 30km/h, please respect this to minimise any disturbance to other guests and also for your own safety and that of other guests and for the integrity of the road. A flock of approximately 200 sheep are agisted on the land, and we ask that you be careful not to injure any or come into contact with them.

  • Only drive on the dirt/gravel roads. DO NOT drive onto the grassed areas. You may cause damage to your vehicle and to our beautiful land, and in summer you may start a bushfire. Driving off the gravel road is a real danger to our land. Should we discover you are driving off the roads during your stay, we may ask you to leave.

 

6. PAYMENT

  • A full 100% of the total booking costs must be received at the time the booking is made. Bookings are not confirmed until this payment is received.

  • A $300 credit card authorisation may be held prior to your arrival, and released 3 days after checkout minus any damages and applicable additional charges. You will be automatically prompted for this authorisation 7 days before your stay via our online check-in process.

7. CANCELLATION OR VARIATION

  • Any booking cancelled before 3:00 PM AWST on the day of check-in

Variations• Variations of bookings will be at managements discretion and are reserved for extenuating circumstances.

  • Variations of bookings within 30 days of arrival will be treated in the same terms as a cancellation.

  • Should you be eligible for a refund it will be made through your payment method at time of Booking.

  • A variation of the Booking which reduces the number of nights stay will be a treated as a cancellation of the Booking in respect of those nights.

  • An administration charge of $75 will be charged for any variation or cancellation unless you are adding night/nights.

  • We have a minimum nights stay policy depending on the dates. No refund will be made for a variation to the extent that it breaches our minimum nights stay policy

  • If a variation to a booking is allowed – any further variation to the booking will not be permitted beyond the initial variation.

8. DAMAGES

Any damage, loss or expense incurred by Management as a result of your breach of these Terms & Conditions will be charged against your credit card provided for online booking. Examples of this include but are not limited to any breakage, damage or excess cleaning requirements or extra guests beyond those declared.

9. UNAVAILABILITY

If the property becomes unavailable for your occupancy due to unforeseen circumstances (eg. fire, storm, damage, etc.) then Management will inform you immediately and endeavour to obtain suitable alternative accommodation for your occupancy; failing which any moneys paid will be refunded in full.

10. PARTIES & FUNCTIONS

  • No parties or functions are allowed on the property.

  • Breach of this condition may result in immediate termination and eviction without refund and extra charges for security, cleaning, garbage removal, wear and tear, repairs etc.

  • Should we discover an extra person/s has/have stayed the night, we will charge you an extra night's fee per night you have breached our "two-person" stay policy.

11. LINEN AND TOWELS

We supply linen, pillows, blankets, bathrobes and one set of towels for your stay. If any are missing or damaged after you leave, we must charge your card for replacement cost.

12. PETS

No Pets. We are sorry as we love animals, but we cannot risk damage to our beautiful property and the wildlife and flora living peacefully here. If it is found that animals and/or pets have entered the premises the tenancy will be terminated and you will be fined $250 and liable for any additional cleaning and damage costs (including damage to the sheep stock).


Though we have a strict no pets policy at Serenity Gully, we love our own fur baby, so we understand that sometimes it's difficult to get a pet sitter or that Serenity Gully is s a stop on a longer trip. So we can offer arrangements with Donnybrook's Down South Boarding Kennels. Please contact them directly. They always have available kennels.

13. MOTORSPORTS

We do NOT permit any kind of motorsports on the property, both due to disturbance to other guests, and due to insurance. This includes but is not limited to motor bikes, dirt bikes & ATVs. Any breach of this policy will lead to immediate eviction and complete loss of money paid, and you will be liable for any other damages to the property or expenses incurred in respect to guest disturbance.

14. ADULTS ONLY

Due to the isolation and type of accommodation and to ensure that you and our other guests can fully enjoy, relax and indulge, SGG is strictly Adults only. Children under 16 are not permitted on the property.

15. YOUR OTHER RESPONSIBILITIES

  • You must comply with all applicable Rules and all instructions from Management and the caretakers of the Property concerning occupancy, property, health, safety and quiet enjoyment of the Property and our neighbours. This is extremely important during high risk fire days. We may contact you with advice on fire threats, and if we advise you to leave the property for safety reasons, you must quickly pack your belongings and comply immediately. We may, at our discretion, rebook the balance of your stay to compensate you for the disturbance to your visit. Your safety and well being are our highest priority.

  • SG is a couples retreat and is all about privacy and serenity. This is why a maximum of two adults are allowed inside or around each tent and we ask you to respect the quiet enjoyment of other guests during your visit. This is why we've taken great care to site the tents for privacy. So, please do not wander near the other tents. Respect the other guests' privacy as they respect yours. A breach in this condition will result in immediate eviction from the property and additional charges will be levied.

  • SG uses off-grid solar power, so due to this we only allow low voltage appliances (phones, laptops, cameras, and such) to be plugged in to the tent's power sockets. High voltage appliances can damage our system and this is expensive to repair. You may not plug in and use hair dryers, straighteners, heaters, coffee machines, toasters, kettle jugs, electric blankets and anything else which has a high draw heating element. As a rule of thumb, if it generates heat, then it's a no to plug it in. If you have a medical device which requires power, please contact us, and we'll investigate if our accommodation can support you.

  • Only the guests nominated and agreed in the Booking may stay in the Property overnight. If any other guests stay, extra charges will apply or the agreement may be terminated without refund.

  • Only paying guests are allowed on the property and visitors are not permitted.

  • Disturbance to our neighbours, including excessive noise, is prohibited and may result in termination and eviction without refund and extra charges may be made for security and other expenses.• Before departure, all food must be removed from fridges, all rubbish put in the appropriate rubbish bins provided, and crockery and cutlery washed and packed away. The Property must be left in a clean and tidy condition. If the BBQ has been utilised please ensure it is thoroughly cleaned using the products provided. If the tent is left in an untidy manor a $50 cleaning fee will be charged.

  • Please leave all furniture and furnishings in the position you found them upon arrival.• Please be considerate to the next guests and vacate on time and leave the tent secured and locked. All windows to be zipped closed and doors locked. Replace your key in the lock box.• You are responsible for the safekeeping and replacement of accommodation keys.

  • Smoking is not permitted once on the property. Please respect our beautiful land and don't risk damaging it by smoking. Our tents and land, from the moment you enter our gate, are a non-smoking area. Should you wish to smoke, you must exit the property and move yourself to a non-fire prone area nearer to Bridgetown. If we find cigarette butts, we will deduct $100 from your deposit to cover cleaning.

  • Cars are to be parked in the parking bay beside the tent and not on the grass.

  • The outdoor firepits and internal fireplaces cannot be used from a date in December to be advised to a date in April to be advised, due to high fire danger or on any fire ban days outside these dates. Please note that these dates may vary with the local conditions. Fire supplies (Firelighters, Wood etc) for the indoor fires and firepits are only supplied from April – November.

  • No hunting or fishing is permitted on the property at any time.

16. PROBLEMS OR COMPLAINTS

  • In the case of any problem or complaint, you must inform Management at the earliest opportunity so Management has the chance to rectify the situation as quickly as possible. You must allow repair/service access to the property during reasonable hours. We want you to enjoy your stay and will do everything we can to minimize disruption.• Any complaint, which cannot be resolved locally, must be notified in writing to Management prior to departure from the Property.

  • If you don't help us to help you to rectify the problem, this will reduce or extinguish any claim you may have.

  • We recommend all guests purchase travel insurance since SG are not responsible for any injuries, illness or accidents occurring whilst staying at our property.

  • This is natural Australian bush and forest, so you assume the risk while exploring the property.

17. EXPERIENCES BOOKED THROUGH Serenity Gully Glamping

  • SG accept no liability and responsibility for activities and experiences sold on behalf of 3rd party suppliers.

  • By booking an experience through SGG, you consent for us to supply the supplier your contact details provided during the booking process. Please note we do not supply anyone your credit card information. This is stored securely in an encrypted vault by our merchant facilities.
